Administrative Assistant (Remote Contractor)

This role will be responsible for various tasks that provide administrative support for the operations of Lila Vinyasa School of Yoga and Practice with Clara Virtual Yoga Studio.


This role's purpose is to support the team remotely in Customer Success (emails), In-Person Experiences (online management of guest lists), and Editorial Assistance (proofing copy) to ensure effective communication, operation, and organization for events.


We are looking for someone who is proactive, professional, and attentive to the finer details. This position informs virtual yoga studio members and guests who sign up for our in-person experiences.

The software you will use includes:

  • Google Mail, Forms, Documents, and Spreadsheets

  • WordPress & Squarespace

  • Notion and Slack

  • YouTube

  • Usceen

About the role:

Your commitment is 10-15 hours per week, with the option to grow to a maximum of 20 hours per week.


Our investment is $20-25 CAD/hour, depending on your skills and experience.

Overview of what you will do:

WEEKLY

Customer Support

  • Respond to customer support emails.

In-Person Experiences

  • Respond to in-person experience emails.

  • Update/create the ‘What to Expect’ email that goes out to guests

  • Update spreadsheets with guest lists per in-person experience, including workshops, retreats, and training.

  • Report to Seraphina with the updates and pending items for in-person experiences.

  • Send invoices and payment updates to the guests of in-person experiences.

MONTHLY 

WordPress / Website

  • Utilize SEO best practices to enhance blog content. This includes revising the SEO title, meta tag, and keyword based on reports we have pulled from MOZ SEO.

  • Updating images per each blog post based on the correct sizing. This involves using Canva to resize the photos and uploading the assets to WordPress with the ALT tag to match the keyword.

  • Updating site pages and posts as needed per monthly seo reports.

  • Creating the monthly musing blog post.

    • If you haven't already, sign up for Clara’s monthly newsletter and familiarize yourself with our blog categories and content.

  • Provide feedback and point out alterations/issues regarding the website/blog should you have any.

  • For Retreats and Trainings

    • Branded Canva assets for event postings

    • Create event pages for retreats and trainings on Wordpress and Squarespace.

    • Create tickets for each event.

YouTube

  • Branding update to the published and unpublished videos inside of YouTube Creator Studio.

    • Update the branding on the published tutorial videos, including thumbnails and write-ups.

    • Update PRIVATE tutorials, Q&A’s time-lapse, and promo vids - thumbnail and write-up.

  • Schedule the unpublished content to be released throughout the year.

  • Update the content write-ups. Add the new copy and CTA based on new branding and design for current videos.

  • Create branded thumbnails inside of Canva.

  • Add content write-ups and links to the content.


Our Commitment:

A monthly Zoom meeting with the team members to anchor the quarterly goals, expectations, and vision for upcoming events.


Adequate training resources, including training videos, SOP guides, and bi-monthly check-ins, will help you learn the systems and processes.


The trial period for this role is three months. During this time, you will be responsible for learning the software and systems mentioned above if you need to gain adequate knowledge.
